🚀Getting Started

Start with your forwarding address, then run one real lead email end-to-end so you can review your first draft in minutes.

  1. Go to FolloQ and sign up with your work email. Verify the login code sent to your inbox.
  2. Copy your unique FolloQ forwarding address from the onboarding screen or Settings tab.
  3. Open a recent lead email in Gmail or Outlook and forward it to that address.
  4. Wait for the draft notification email from FolloQ, then open the review link.
  5. Approve the draft to send it, or edit first if you want to adjust phrasing.

First Success Checklist

  • Account verified
  • Forwarding address copied
  • First lead forwarded
  • Draft reviewed and approved

📧Forward Mode

Forward Mode is best when you want AI help on inbound emails you receive directly from prospects or referrals.

  1. Open the inbound lead email thread and click Forward.
  2. Paste your FolloQ forwarding address into the To field and send.
  3. FolloQ parses the thread context, identifies the sender, and enriches company details from public data.
  4. A draft follow-up is generated and queued for your approval.
  5. After approval, FolloQ can schedule follow-up touches for that thread based on your sequence settings.
Use Forward Mode when: a lead reached out first, you were introduced by someone else, or you need AI to respond to a fresh inbound thread.

📋BCC Mode

BCC Mode captures conversations while you send normal outbound emails from your mailbox.

  1. Compose your email to a lead as usual from Gmail or Outlook.
  2. Add your FolloQ address in BCC before sending.
  3. FolloQ logs the thread, associates the lead, and prepares follow-up timing automatically.
  4. When no reply arrives, FolloQ drafts the next follow-up at the scheduled interval.
  5. When a reply arrives, FolloQ adapts or cancels the remaining schedule.

Pick BCC Mode For

Outbound prospecting, ongoing nurture campaigns, and any flow where you initiate the first message.

Pick Forward Mode For

Inbound inquiries, referrals, demo requests, and replies that arrive before you send anything.

📤SMTP Setup

Connect your SMTP provider so approved follow-ups send from your real email address with sender verification.

  1. Open Settings and go to the Send From Your Email (SMTP) section.
  2. Choose a preset provider or enter SMTP host and port manually.
  3. Enter your sender email and app password, then click Verify & Save.
  4. Confirm the sender appears as Active in your SMTP sender list.
  5. On approve pages, select your sender profile and verify the badge before sending.
Recommended: use app passwords for Gmail/Outlook and create one sender profile per teammate so each person sends from their own address.

🔗LinkedIn Enrichment

FolloQ enriches lead profiles directly from public LinkedIn data to improve personalization and prioritization.

  1. Forward or capture a lead thread with Forward Mode or BCC Mode.
  2. FolloQ matches the person and collects profile fields: title, location, education, languages, connections, and photo.
  3. AI maps the role into seniority levels: C-suite, VP, Director, Manager, or IC.
  4. High-value opportunities such as Fortune 500 or enterprise accounts are auto-flagged with a star badge.
  5. Open Thread Detail to review enriched data and update any field if needed.

Enrichment Output

  • Person: title, location, education, languages, profile photo
  • Seniority: C-suite / VP / Director / Manager / IC
  • Priority: high-value enterprise/Fortune 500 flag

📊Dashboard

The dashboard is split into three tabs so you can manage active threads, clean lead data, and personalize behavior.

  1. Open the Threads tab to see status, recent activity, and the next action on each conversation.
  2. Open the Leads tab to review extracted names, companies, and contact details.
  3. Open Settings to manage tone presets, custom instructions, and meeting links.
  4. Use status badges to prioritize threads that need immediate review.
  5. Click any thread row to open detailed timeline and sequence controls.

Daily Workflow

1) Review pending drafts in Threads. 2) Fix low-confidence lead fields in Leads. 3) Tune tone and scheduling defaults in Settings.

🔍Thread Detail

Thread Detail is where you inspect history, manage drafts, and control sequence timing for one lead conversation.

  1. Open a thread from the Threads tab to load timeline, drafts, and follow-up records.
  2. Review timeline events in order: inbound email, draft created, sent actions, replies, and reschedules.
  3. Use Add Follow-Up to create another touch with a target date.
  4. Use Edit on a scheduled follow-up to change send date or message intent.
  5. Use Remove when a follow-up is no longer needed because the lead replied or closed out.

Thread Controls

  • Timeline for full context
  • Draft queue for pending approvals
  • Schedule editor for each follow-up touch

✏️Reviewing Drafts

Every generated message goes through your approval workflow so you keep control over tone and timing.

  1. Open the approve link in the draft notification email.
  2. Read the subject and body while checking references to company, role, and prior thread context.
  3. Edit text directly if you want sharper CTA language, different tone, or shorter copy.
  4. Click Approve to send now, Reject to discard, or Save for later to return after edits.

Approve

Sends the draft and keeps sequence logic moving for the thread.

Reject / Save

Reject removes the draft. Save keeps it pending so you can return later.

🔄Follow-up Sequences

FolloQ auto-schedules touches so threads do not stall, then dynamically adjusts when new replies change intent.

  1. When a thread becomes active, FolloQ sets future follow-up dates from your default cadence.
  2. If no reply is detected, drafts are generated for each scheduled touch.
  3. If a lead replies positively, pending follow-ups are paused or canceled to avoid redundant outreach.
  4. If a lead says later or after a specific date, FolloQ shifts the schedule forward.

Adaptive Logic

Signal detected: positive reply, objection, OOO note, or bounce. Result: schedule adjusted automatically to match the new state.

🎙️Voice & Tone

Use presets and custom instructions to keep every draft consistent with your team voice.

  1. Go to Settings and choose a default tone preset such as Direct, Friendly, or Formal.
  2. Add custom writing rules, for example: keep under 120 words, ask one clear CTA, mention free trial.
  3. Save settings and generate a new draft to validate style output.
  4. Adjust instructions when drafts sound too verbose or too casual for your audience.

Example Custom Instructions

  • Open with one personalized line from the thread
  • Use short paragraphs and no buzzwords
  • End with two concrete scheduling options

🏖️OOO Auto-Detect

Out-of-office replies are parsed automatically so follow-ups are not sent while a lead is away.

  1. When FolloQ sees an auto-reply, it extracts return date clues from the message.
  2. Pending follow-ups that would send during absence are moved to after the return date.
  3. Thread timeline records the reschedule event for auditability.
  4. You can open Thread Detail to review or manually tweak the new dates.

What Gets Rescheduled

  • Pending touches not yet sent
  • Draft generation windows tied to those touches
  • Reminder events tied to follow-up dates

👥Lead Management

Keep CRM-quality lead records inside FolloQ by correcting fields and removing stale entries safely.

  1. Go to the Leads tab and open a lead record.
  2. Edit name, company, title, and profile links when enrichment is incomplete.
  3. Save updates so all future drafts use corrected lead context.
  4. Use Delete Lead only when you are certain the record should be removed.
Cascade delete impact: removing a lead also clears dependent thread history and scheduled touches tied to that lead.

🛡️Bounce Protection

FolloQ detects bounced sends and stops further automated touches to protect your sender reputation.

  1. If a sent email bounces, the thread is marked with a bounced status.
  2. Remaining scheduled follow-ups for that thread are canceled automatically.
  3. You can inspect bounce details in timeline history.
  4. Fix the address or contact method before restarting outreach.

Why This Matters

Bounce protection prevents repeated sends to invalid addresses and lowers the risk of domain reputation damage.
